ADMINISTRATIVE ASSISTANT

We are currently accepting applications for a part-time, casual position Administrative Assistant

This role is one part client care, one part general office support and administration, and one part community engagement.
20 hours a week to start: Monday to Thursday 10am to 3pm. Opportunity to grow within the role for the right candidate.

About Us

South Okanagan Counselling  (SOC) is a thriving group practice in central Penticton, offering counselling services both online and in-person. We are a fee-for-service private group practice specializing in individual, couple, and family therapy for children, teens, and adults. We are also a teaching clinic with a regular rotation of student therapists who are learning the practice of therapy. Your Role and Responsibilities
As our Administrative Assistant, you will play a pivotal role in providing front desk and operations support to our group counselling practice. Your responsibilities will include (but are not limited to):

 

  • Assisting Registered Clinical Counselors and Registered Social Workers with client bookings, payments, and administrative tasks.

  • Providing compassionate and attentive service to clients through phone, email, and in-person communication.

  • Conducting intake calls with prospective clients and maintaining quality assurance.

  • Ensuring the maintenance of clinical files and managing booking software.

  • Invoicing & collecting client payments

  • Monitoring office supplies & placing orders as needed

  • Assisting with marketing projects including posters, social media posts, newsletters, and community engagement.

  • Liaise effectively and adaptably between associates, directors, other admin staff, and clients.

  • Work with our CRM to set up workflows and automations.

Qualifications

  • 1 to 2 years of experience in client-care and customer service, preferably in a medical office setting.

  • High school diploma or equivalent required; additional relevant education or certification is an asset.

  • Proficient in Google Workspace, experience with Zoho and JaneApp is a big bonus.

  • Comfortable talking about mental health.

  • Experience/background in counselling/mental health, healthcare, or psychology is an asset.
